Important Upcoming Changes to your Payroll Service

QuickBooks Online has notified us that effective September 30th, 2024, they will be withdrawing payroll taxes when payroll is processed.  Also, on September 30th, 2024, QBO will be making a one-time withdrawal for the unpaid Federal Unemployment taxes to date (FUTA).

What does this mean?
• This means QBO is now escrowing tax payments like the big payroll companies do (Paychex, ADP to name a couple).
• This means there will no longer be a float of cash flow, with your 941 taxes being pulled on the due date instead of the payroll processing date.  Example – Payroll is on a Friday, and taxes for that pay date are due the following Wednesday, with this QBO update, taxes and payroll will pull when the payroll is processed.

What are your options?
• This applies to auto tax and auto filing clients, (which is what you are set up as currently with CPABA).  If you do nothing, you can plan and expect to have the “total payroll cost” in the bank the day payroll is processed.
• If you would like us to switch your payroll account to manual tax and manual filing, we can keep your service the way it is currently by handling the taxes and filings manually here at CPABA.  This will require manual processes here at CPABA, and the charge for this update to your account will be $20 a payroll.

So, what do you need to do now?
• If you are ok with your payroll total cost being drafted the day payroll is processed, then you don’t need to do anything at all.
• If you prefer to not have your payroll taxes escrowed by QBO, then you need to reach out to your processor prior to September 15th, 2024 and let them know you would like to add manual filing/manual taxes to your payroll account.
